5.1 Audience and typical use per report
Optimization Summary Report
- Audience: CIO/CTO, CFO, SAM Manager, Vendor Management.
- Use: High-level overview of potential savings, risk hotspots, and recommended focus areas for upcoming cycles (e.g., next fiscal year, next renewal). Suitable as an appendix to management presentations.
Detailed User-Level Recommendation Report
- Audience: IT admins, SAM/admin teams, application owners.
- Use: Operational follow-up; provides user-level or resource-level recommendations (downgrade, removal, reallocation).
Contract & Renewal Preparation Report
- Audience: Vendor Management, Procurement, Licensing specialists.
- Use: Input for renewal / true-up negotiations; outlines baseline demand, optimization scenarios, and impact on license counts and spend.
5.2 Using reports in negotiations
When preparing for discussions with Microsoft or your reseller:
- Use the Optimization Summary Report to frame the conversation around facts (“This is our actual usage and optimization potential.”).
- Use scenario-based reports to demonstrate your new baseline and the impact on license mix and consumption.
- Export selected views to PowerPoint or PDF to build a concise negotiation deck (e.g., 5–10 pages) that can be shared internally and, where appropriate, with your counterpart.
The goal is to move from negotiation based on estimates and arguments to negotiation based on shared, verifiable data.
